Tabling and outdoor event requests are now being accepted. Please fill out the form listed below, and keep in mind the following.
  • Requests are for outdoor locations only
  • Events must not exceed 150 attendees at any given time
  • Masks must be worn at all times

Space request update: June 22, 2020

Space planning for instructional and other critical space needs is ongoing for the fall semester. When this process is completed, further information about fall events will be announced. Thank you for your patience.


Academic Space Reservation Guidelines


  • Room reservations are available seven days per week 7:00am-12:00am, with the exception of final exam periods when they are completely unavailable.
  • The Registrar’s office will begin processing room requests for the upcoming term one week prior to the beginning of the term, and will continue reviewing requests on a rolling basis.
  • Room reservation requests are reviewed and processed Monday-Friday.
  • Room reservation requests must be submitted at least 48 business hours prior to the start of your requested reservation.
  • Please account for set-up and clean-up time as well as at least 15 minutes between events for adequate transition time in your reservation request.
  • If the requested room you are seeking is not available, the Registrar’s office will reserve another room as availability permits.
  • The Registrar’s office may require more information regarding your event prior to approval.
  • You will receive an email from the Registrar’s office when your request is processed, declined, or cancelled.

Non-Academic Space Reservation Guidelines

  • Room reservation requests are processed Monday-Friday.
  • If the requested room you are seeking is not available, the Special Events Office will reserve another room as availability permits.
  • Please supply as much information as possible in the “Other Information” section of the request: Room set-up requests, Catering requests and Technical requests

Instruction Lab Reservation Guidelines

Priority use of the library’s Instruction Lab is for hands-on instruction delivered by SJU librarians for University courses. When not in use for librarian-led instruction, it is available for request per the following guidelines. To be approved, requests must be made by SJU staff or faculty, for;

  •  Hands-on training and instruction events that require computer use by attendees.
  •  Single events. Requests for regularly recurring bookings will be denied.
  •  The duration of the event itself. Approved requests will not include setup time or padding.
  • Exceptions to these conditions may be made for requests during the months of May through August.
